How to add an administrator
Any OpenAthens account can be given an administrator role and your organisation have have as many administrators as it needs. Each administrator has their own username and password, so you can see which administrator did what in the activity streams.
You can only enable admin roles on OpenAthens accounts, not local accounts, so if your colleagues don't have an OpenAthens account you'll need to add one for them first - see: Add - Personal account.
To add an administrator role to an account:
- Open up the organisation details either by
- Preferences > Organisation (for your own organisation), or
- Management > All organisations and select the edit option from the dots menu next to the organisation you want to edit.
- Preferences > Organisation (for your own organisation), or
- Go to the administrators tab:
Find and select your colleague's account using the search box on the page and give them the relevant administrator role.
When you're done, click on the save changes button.
To remove an administrator role from an account:
- Open up the organisation details as above and go to the administrators tab
- On the relevant account, click the trash icon
- Save changes
Things to know
The Owner role will only be available on the domain organisation as it can access domain-wide settings.
The Admin role can manage any sub-organisation below them in the hierarchy - if you want to limit them to a specific branch their account should sit under the top organisation of that branch.
Administrator accounts cannot change their own expiry dates, be sent expiry warning emails, or be modified by bulk operations.
Anything to watch out for?
Accounts with administrator roles can still access resources. This is an activity covered by our misuse monitoring, which means an administrator account can get banned by the system and would need to be re-enabled by another administrator user. If you are the only administrator account holder, you should consider using a different (non-admin) account for resource access.
If your account is the only one with the owner role, then no one else at your organisation will be able to help you reset your password if lost or forgotten. You should be asked for your PIN when you contact support.
